What are your requirements to rent?
We require at least four things:
- Signed rental terms and conditions
- Government issued photo ID
- Credit card on file for a security deposit
- A confirmed approval for the quote (via email)
- *Insurance (for rentals with total equipment value over $10,000)
How do your rental days work?
We bookend rentals with extra time for you by allowing you to pick up your equipment after 2:30pm the day before you need it, and you have until 10:30am the morning after your last day of use to return it. For example, if you need to rent a camera for use on Wednesday, we allow you to pick it up after 2:30pm on Tuesday, and you have until 10:30am on Thursday to return it while still only paying for a 1-day rental. We can accommodate different pickup and return times, just be sure to tell us exactly what you need.
How do I make a reservation?
How much is the security deposit?
The standard security deposit is 20% of the value of the equipment you’re renting. If you have approved insurance, the security deposit is 10% of the value of the equipment or your deductible, whichever is less. We place an authorization on your credit card for the security deposit or against your available credit with us and release it when the equipment is returned in good condition.
Why can’t I use cash for the security deposit?
The main reason you can’t use cash for the security deposit is that we can’t give it back right away when you return the gear. The gear has to be inspected by our team before we release the deposit.
What are your requirements for a credit account?
We only offer NET30 accounts to established businesses. We do not offer credit terms to individuals.
What is your pricing structure?
We tier our pricing to give you a price break the longer you rent a piece of equipment from us. Everything starts with our one day rate. Our two day rate is 1.5 times our one day rate. Our three day rate is 2 times our one day rate. Our four days up to a week is 2.5 times our one day rate. Each additional day after a week is billed at .25 times the one day rate. Two weeks is billed at 4 times the one day rate. Each week after that is billed at the one day rate.
Do you give a deal on weekends?
We count Saturday and Sunday as as one day, so a weekend rental would be billed at the one day rate, provided you pick up after 2:30pm on Friday and return by 10:30am on Monday. So yes, we give you a pretty good deal, actually.
When can I pick up my rental?
Our standard pickup time is after 2:30pm the day before your rental with it being due the day after your rental before 10:30am. We do get the occasional odd pickup time by giving you a 24 hour period. So if you needed to pick it up at noon on a Tuesday, we could give you till noon on Wednesday to return it for a one day rate.
I’m having a problem with the equipment, what should I do?
You should contact us ASAP, even if it’s not during our hours. Our voicemail and email is monitored in the evening and weekends, and we’ll get back to you as soon as we can. This gives us the best chance to resolve your problem- we want to help you if we can!
I couldn’t figure out how to use some of the gear I rented, so I didn’t end up using it, can I get a discount?
No, the best time to ask questions is before you rent the gear; we’re here to help your video production be successful. If you have problems in the field, we’ll try to help you resolve them, but ultimately you’re responsible for knowing how to use the gear.
When does my rental need to be returned by?
Your rental needs to be returned before the time on the quote. You are responsible for viewing the quote and making sure you know your return time. Generally, our return time is before 10:30 AM the day after your rental.
Can I extend my rental?
If the equipment isn’t already booked by someone else, you can extend your rental if you request your rental extension at least two hours before it’s due back, and ideally the day before. There is a $20 fee on top of the prorated amount for the rental extension. To extend your rental, you must contact us and have it confirmed in writing (email).
I’m running late getting your gear back, what should I do?
You should call or email us. If it’s only a few minutes late, we might be able to waive the rental extension fee, which is still always cheaper than a late fee.
My cards are still copying, so I’m going to be late, what should I do?
You should contact us about extending your rental for the cards, but return the rest of the gear on time.
What happens if I return my rental late?
The late fee for a rental is the one day rate, and will continue to accrue for each day late at a 1-day rate per day. A rental extension is always cheaper.
Is insurance required?
We require insurance for all rentals over $10,000 in total replacement value.
What kind of insurance do I need?
The insurance must provide inland marine coverage on rented equipment up to the value of the equipment and cover the duration of the rental period. We must be listed on the policy as a loss payee and additionally insured with the below info:Vision Media and Marketing LLC

Do you offer insurance?
No, but we have a great insurance partner. You can purchase insurance in minutes online. https://www.insuremyrentals.com. We are one of the drop downs to make it super easy to fill out. $20,000 of coverage costs less than $500 for the year. Short term coverage starts as low as $250.
Can I cancel my rental after confirming it?
Yes, you can cancel your rental with no charge up to three hours before your scheduled pickup time. If you no-call no-show, you will be charged the one day rate for the gear you booked. We will confirm via email if you’ve cancelled a rental. If you’ve sent an email cancelling a rental, but did not get a response, call us to make sure we’ve cancelled the rental for you.
I’m not sure I need to rent this gear, can I put a hold on it?
Yes, you can put a hold on gear. If it’s just a hold, we’ll attempt to contact you before booking the equipment with someone else, but if we can’t get a hold of you in a timely manner, we may rent it to someone else. Equipment is put on a 24 hour courtesy hold from the time you're given a quote, and if you don't confirm it in that 24 hours, we can't guarantee anything. But even if you book the gear, you can still cancel the rental before the date.
Do you collect sales tax?
Yes, for local rentals we collect sales tax for Cuyahoga County, which is currently 8%. If you’re tax exempt, you must provide a certificate of exemption before you pick up your rental.
What if I can't pick up or return gear during the hours you're open?
We can arrange for out-of-hours pickups on request. We charge a fee of $50 for each pickup or drop off outside of our regular hours.
